December Board Meeting Minutes

ATLANTA WOODTURNERS GUILD
BOARD MINUTES

December 17th 2008

The scheduled Board meeting for the Atlanta Woodturners Guild met as scheduled with a quorum in place, and was called to order by the President Mr. Bob Greenberg at 5.30pm December 17th 2008.

General Business

The President announced that the final $200.00 of the education grant from by A.A.W. has been received and deposited to the Guild account.

A general discussion was held in regard to non-members (guests) attending Guild meetings and how they should be converted to members and also how to limit their continued attendance as a guest and not be a member of the Guild. There was further discussion on limiting the amount of time spent on following up with guests in order to convert them to members.

It was also pointed out that current bylaws state that individuals who join the Guild as of  September 1st  through December 31st  of each year; their membership  is valid until December 31st  of the following year. Those individuals joining the Guild prior to September 1st  each year; their dues are due payable in full as of January 1st  each year.

There was further discussion on a grace period for dues payment by members. General agreement led to the following. A grace period will apply. For members in good standing all dues are due as of January 1 and apply through  December 31st  each year. Dues will not be considered delinquent until March 31st  each year. If dues are not paid by March 31st the individual will be immediately dropped from the membership roster and be required to re-apply for membership.

The merits of having member name tags to be worn by all members at the general meetings. Bob Greenberg presented the idea of having a lockable box kept at WOODCRAFT in which the member name tags would be kept along with other club materials. Each member would take his tag from the box wear it during the meeting and return it before leaving – similar to the Rotary Club procedure. It was considered to be an excellent idea and Bob stated he would discuss it with Steve Quehl of WOODCRAFT  to see if it was feasible. Further discussion was remanded until the next Board meeting.

The general discussion let to the following motions:

1.Prior to the opening of each general membership meeting the Guild Officer designated to run the meeting will ask if there are any guests in the audience. They will be asked to stand up and  introduce themselves to the membership. They will be handed an application form for membership and requested to give their name, address and e-mail to the President.

The motion was seconded by Harvey Meyer, put to the vote and passed unanimously.

2.Any guest placed on the e-mail list for eventual conversion to membership will remain on the list for a period of 90days from the date of their first meeting attendance. If there is no membership application forthcoming the individual will be dropped from the e-mail list.

The motion was seconded by Harvey Meyer, put to the vote and passed unanimously.

3.Any guest (non-member) on the Presidents e-mail list as of December 31st 2008 will be dropped from the list as of March 31st 2009 if they do not apply for membership in the Guild.

The motion was seconded by Harvey Meyer, put to the vote and passed unanimously.

4.For members in good standing annual dues are payable to the Guild effective January 1st each year. A grace period will apply from January 1st through March 31st each year. However if the annual dues are not paid in full by March 31st each year the member will be immediately removed from the membership roster and be required to re-apply for membership.

The motion was seconded by Chris Burfield, put to the vote and passed unanimously.

There being no further business the meeting was adjourned at 6.45pm.
